What kind of data do we process, for what purposes, and on what legal grounds?
We process your personal data in compliance with the EU General Data Protection Regulation (GDPR), the German Federal Data Protection Act (BDSG), and all other relevant national legislation.
The publication of photo, film and audio recordings is based on the legitimate interests of Munich Re (Art. 6(1)(f) GDPR, Section 4 BDSG) where, for example, you are recorded at an event as an “accessory”, i.e. you were not the focus of the recording. If you are shown as a participant, you will be informed that, if you do not agree to being photographed or filmed, you must immediately notify the photographer responsible for getting the subject into view or a contact person for this event. The information is given by prior notice or by setting up a sign.
Publication can also take place on the basis of consent (Art. 6(1)(a) GDPR). This is necessary where recordings are made of (other) employees or outsiders (also children – here the consent of the legal guardian or legal representative is required). Consent must be given voluntarily and verifiably in advance. Where you give such consent, you have the right to revoke it at any time with effect for the future.
Munich Re may publish photographs, film or audio recordings of your person in corporate publications of all kinds (both printed and online versions) for the purposes of corporate communication and marketing activities, without restriction as to place or time, and maintaining your right to privacy. This applies to both internal and external publications on internal and external platforms (e.g. Go Ahead Online, Topics Online, corporate website, MR Web, social media).
Such publication shall also apply to use conforming to the above-stated purposes by reinsurance companies of the Munich Re Group worldwide.
How long will we store your data and who has access to it?
We will delete your personal data as soon as it is no longer required for the aforementioned purposes, or until you object to it being processed. The photographs, film or audio recordings of your person will then no longer be used with effect for the future and will be deleted from the photo database.
Only those staff within the Munich Re Group who need your data for the aforementioned purposes will have access to it.

What data protection rights do you have?
Right to object
You may object to us processing your data for the purposes of protecting legitimate interests, on grounds relating to your particular situation. We will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing that override your interests, rights and freedoms, or if the processing is needed for the assertion, exercise or defence of legal claims.
You may contact the aforementioned Data Protection Officer or a data protection supervisory authority if you have any complaints.
